Let AI be the common ability of the team.
A team started using AI, often starting with a few active people.
It's used to write code, it's used to sort needs and it's used to analyze logs. Soon, there was some experience: how to ask more questions, how to add context and how to bring answers closer to actual needs.
But when these individuals try to enter into teamwork, new problems arise: it takes a long time for one person to generate a code, while the other takes a long time to understand it; it is only when the required documentation is complete that key rules are not confirmed when developed; and when the same question is asked individually, another set of options is obtained.
The efficiency of individuals using AI needs to be adjusted in a collaborative manner to translate into efficiency in team delivery.
I. Starting with sharing context
It is assumed that the team will add a “cause of cancellation” to the order.
Only AI, “Addition field”, is told that it may complete changes on databases, interfaces and pages, leaving out how historical data are displayed, what status allows for cancellation, whether external systems are involved and how old interfaces are compatible.
This information is often scattered among documents, codes and members ' experience. People who are familiar with business take it for granted, new people and AI don't know.
Therefore, the first step for the team to use AI could be to organize a short, credible project description containing:
- Operational context: what issues are addressed systematically and how key business terms are defined.
- Module division: how the modules work together and which capabilities should be reused.
- Development norms: Codes, interfaces, agreements for data operations.
- Means of verification: How changes are checked and what is completed.
The note should have a clear maintainer and be updated as the project evolves. The expired context will make the error seem more valid.
For specific tasks, objectives, scope, constraints and acceptance criteria need to be added. The team can use a simple judgment:
Is the mission statement given to AI sufficient to get a new colleague to work?
II. Enabling AI outputs to be taken over
In teamwork, the quality of the handover directly affects subsequent costs.
If the developers simply say “AI has been modified”, the reviewers still need to reconfirm the need, find the scope of the change, understand the way it is achieved, and determine if there are any omissions. The time saved in the front is likely to be reused in the back.
Better delivery would involve each output with the necessary instructions:
What are the issues addressed in this revision, what are the scopes, what options are used, what scenarios have been tested and which issues have not yet been identified.
The same applies to demand documentation, design options, test reports and problem analysis.
For example, when an interface is analysed for anomalies, the “possibly cache problem” can only provide a direction. A more useful handover should indicate:
- What was observed.
- Which logs support this judgment.
- For what reasons.
- next step needs to verify anything.
The separation of established facts, assumptions and items to be confirmed would allow those who took over to know where to proceed.
iii. Put AI in workflow
“All can use AI” is a tool that has not yet developed a collaborative approach.
Teams can combine existing processes and assign specific tasks to AI:
Each link requires a responsible judgement. It should be clear who identified the needs, who determined the technical options, who verified the test results and who was responsible for publish.
AI can undertake a large amount of implementation, but final delivery must be explained and accountable.
IV. Supporting trust with validation
The content generated by AI is usually fluid and can easily appear complete. The team needs to be careful that there is a link between integrity of expression and reliability of facts, and needs to be validated.
In the case of code modifications, “recovered” should correspond to specific evidence:
- The original question is how to repeat it.
- Whether to adopt the same scene after the change.
- Whether the functions are affected.
In the case of business analysis, the key findings should be traced back to demand, code, data or confirmation by the responsible person. In the absence of an evidence-based judgement, it can be retained as a hypothesis and continues to be tested.
Validation also needs to match the scale of change. Adjustments to a display and modification of payment status flow require varying degrees of inspection. Teams should focus on where they really affect results.
Use AI to review the content generated by AI to add a check perspective. The review still needs to be based, however, and the result cannot be found to be correct on the basis of another response alone.
Experience of re-use of sedimentation
When the team promotes AI, it is easy to turn sharing into a prompt display: who writes longer questions and whose instructions are more complex.
prompt was useful, but it was more worth retaining the working methods behind it.
- A valid failure check that can be deposited in order of inspection.
- The issue of compatibility, which was repeatedly omitted, could be added to the review list.
- A frequently developed type of functionality that can collate examples of implementation and acceptance check templates.
These experiences are clearly applied and can be easily understood and adapted by others.
If each dialogue, each draft, were to be stored in the knowledge base, it would be difficult for those later to judge what was credible. The deposition should preserve the conclusions, the basis and the scope of application and amend the outdated content in a timely manner.
The value of the sunk knowledge is reflected in the fact that the next mission will be less bent.
Starting with a real task
The team does not have to modify the whole process at once. A first set of recurring, well-defined and easily validated tasks could be selected and a trial round completed.
Before starting, record the most time-consuming links at present; harmonize mission statements and delivery requirements at the time of implementation; and, after completion of the check, check where the time is saved and where it is increased.
In addition to the speed of generation, attention should be paid to:
- Whether the overall time frame is shorter from receipt to final delivery.
- Whether there has been a decrease in back-up work during the review and testing phase.
- The ability of other members to understand and take over outputs successfully.
- Whether experience is really useful when similar tasks arise again.
If codes are written more quickly and the review becomes more difficult, there is a need to improve delivery instructions and validation. If more documents are available, key decision-making remains unclear, and the quality of information needs to be improved.
Teams use AI, which eventually falls on very specific things: Clarify the mandate so that the basis can be found, the results can be validated and the next colleague can catch it.
When these habits evolve, an effective attempt by an individual becomes the starting point for the next work of the entire team.
