(Takeaway)
{此处粘贴你的技术方案或业务复盘材料}

At 4 p.m., the technical programme review session.
My colleagues connected the computer to the projector and jumped out of the screen with a very familiar set of PPTs: deep blue, suspended cards, photostapings of luminous robots drawn from Midjourney, with the title "New generation of high-availability structures driven by clouds and AI."
As soon as he turned to the second page and spoke for less than a minute, the technical director, sitting at the end of the long table, knocked on the table to break:
"Stop. Why didn't you write on page one about clustering, the QPS over $50,000, and the scale on page two have no library tabulations and no cache penetrating? Also, who's up there and who's down there? How do you guarantee data consistency in the middle?"
My colleagues stood on the stage, and their fingers were pulled twice over the touchboard and sweated straight down.
The frequency of this scene in the last six months of technical reviews, quarterly debriefings and job debriefings was alarming.
Everyone is using AI to make an impact. Throw a Markdown or Word to Gamma, AiPPT or even General LLM for 30 seconds and throw out a set of 20 pages, flairs, graphics and smoulders. It looks like it's 10 times more efficient, but once it's on the screen, the old architect can smell the strong "REDnote-based plastics":
It's big, it's empty, it's cool, but there's no chain.
For marketing, this type of PPT is enough to defunct; however, in the conference room of technical decision makers, this slide is equivalent to instant self-explosion.
No paid tools are being marketed today, with a 10-year later structure, who was both a reporter at a technical evaluation meeting and a former soldier's perspective on the ground, to talk about why most people let AI be a PPT flipping over and how to use a "three-step water line" to actually produce a hard-on structure.
I. What is the boss reading at the jury?
Many engineers have a deep-rooted misunderstanding about reporting: they think that the core competitiveness of PPP is "aesthetic" and "formatting."
As a result, people are trying to pull colors, find templates, stack cards, and even hope that AI can turn "wrong" into "good." However, in the cognitive model of technology managers, technical reporting is not an aesthetic expression in essence, but rather evidence of the engineering causal chain and commercial decision-making.
Technical leadership listens to the report, and there are only three viewers in his head:
- Is there a real data anchor in the status quo bottleneck: you can't say "systems are slow" and you have to give a hand-to-hand measure: "P99 has deteriorated from 80 ms to 1.8s during the peak period, which is the result of ordering a full-scale scan of the cell data."
- Is there a clear Trade-off (balancing) framework: there is no two-size-fits-all structure in the world. Did you sacrifice the Consistency Window or did you increase the delay? How much consumption do you accept to peak? If the PPT is full of "all-round upgrades, all-stable, all-out solutions", the boss will only play a big question mark in his heart.
- Physical closure and defensive borders: who is the upstream and downstream of the call chain? What's the timeout strategy? Who's got the down-to-down switch when it happens?
Why does the AI Generating Tool create a sense of "gift"?
Because the default generation strategy for open source LLM is smooth word fill. You let it sum up, and it erases all specific technical terms and replaces them with "full decomposition" with "multidimensional empowerment" with "flexible expansion". And it's going to make it look good, and it's going to make it look good, and it's going to force it into four symmetrical sandglass cards.
In technical reports, symmetry often implies lies. The real business architecture is extremely asymmetric: the core payment chain and the ancillary notification link are allocated by two orders of magnitude and disaster-resilient strategies are very different. A complex distribution system using one-size-fits-all cards is not surprising for technical leadership.
Two, three-step builder-endorsed architecture report.
There's only one core principle to break this awkwardness: the logic of man, the cause and effect of man, the compression of the AI cavity, the meaning of professional tools.
The entire design document cannot be thrown to AI, saying, "Do me a PPT," but to be broken down into three phases of certainty.
Step 1: Causal chain extraction (reduce narrative to decision tree)
Leave PPT alone for a few pages before writing or prompt. Open your editor and write "Mainline 5" in one draft page of the entire report:
- Why Now: Why has the system not changed in the last quarter? (There must be clear external pressure or monitoring indicators across the line)
- status quo (Bottleneck): What is the deadliest hard wound in the current architecture? (Code line number, locking particle size, connect pool or interplanetary delay)
- Alternatives: Why choose A instead of B and C?
- System Panorama (Architecure): What components have been added or modified at the physical level to the new architecture? Where did the data flow come from?
-Defense: If the new plan goes offline, how can it roll back in 3 minutes?
It's only when you answer the five things in your heart that AI can be your leverage; if the five things are already vague, AI can only magnify your heart with more beautiful nonsense.
Step 2: Structure Prompt Injection
When feeding AI, it must be forced to deprive it of its "creative rights" and lock the output format into the project outline.
Here's a Prompt template for my technical reports:
You're a senior service-end architect. A technical programme now needs to be recast into a PPT logical outline for reporting to CTO and the Technical Director General.
Rules of restraint
1. It is strictly forbidden to use words such as "fullness, empowerment, deep cultivation, extremes".
2. Follow the `one page, one theme': a hard-core conclusion (conclusion, view) must not exceed 20 words at the top of each slide.
3. Layout compulsion is one of three models:
- [Indicator collision]: Current status indicator vs Target indicator vs Cost of achievement
- [Framework Panorama]: Uproot Borders + Data Flows + State Changes
- [weight matrix]: the dimensions of the selection + the option trade-offs + the grounds for waiver
4. Each page shall contain:
- Takeaway
- Evidence support (source structure / monitoring indicator / real pressure data)
- Risk line (downgrade and melting mechanism)
[Input content]
{Page here your technical options or business files}
After running this Prompt, AI will spit out a very clean skeleton. There are no redundant flower racks on each page, only cold technical judgement and causality.
Step three: Semantic technology mapping (No AI conceptual drawings)
The easiest thing to reveal in the PPT is the architecture.
A lot of people use generic drawing models or AI PPT's own library of graphics to draw architectures, often four squares with luminous special effects, with several undefined lines in the middle.
In the true framework of reporting, the figure is the language itself.
The Anthropic Official Open Source Skills/pptx repository clearly emphasizes in the layout specifications that: technical slides must use original synonyms, remove excess internal and external margins, and ban unexplainable indicative lines.
In the technical report, only four standard semantics are used in the body figure:
- Schructure: who contains the person, the modular boundary, the protocol connection (e.g. RPC, gRPC, HTTP).
- Flow: There are clear requests and responses to arrows, who is active and who is passive listener.
- Program Comparison Matrix (Compare): dimensions scoring, performance measurement benchmarks, introduction costs.
- Status Machine and Life Cycle (Sate): Initial state, flow conditions, failure compensation and terminal.
If drawing is required, it is recommended to use a similar Fireworks, Graphviz or structured SVG engine to define node, side with direction, state flow to code or structured data and to post them directly into clear vector maps. This is not to be counted in any of the so-called "AI Intent Concepts".
III. The three main disciplines of structured reporting
When you get the structured content and clear charts, you're going to set the floor and hold the bottom lines.
- Left chart right or above: to the left, to the left, to the left, to the left, to the left, to put three core conclusions; or to the first half, to speak of the proceeds of the architecture, and to the second half, to make physical evidence using data tables or compressions. The habit of looking at people's eyes is to look at structures before numbers, and not to allow leaders to hide and hide in big words.
- Colours of restraint: The whole page is not more than three colours: the background is kept clean (dark or high-comparison cold ash), the main emphasis is on selecting a technology blue or cyan, and alerts/facility signs are consistent with visible coral red. The luminous purple slide card on the market was designed for the design of the show, not for a meeting of engineers.
- The stairwell is firmly drawn: core conclusion 24-28pt, secondary argument 16-18pt, labeled and source 12pt. Do not ever appear in the entire section of unmarked text more than 50 words.
Common issues
Q: There are no many small projects with first-hand numbers, how can we report the chain of origin?
A: Without QPS, from 10,000 to 100,000, say "certainty and R & D efficiency": For example, the addition of a new payment channel prior to the re-engineering would require eight micro-services, which would take two weeks; the re-construction would be constricted to one adaptor plugin, with a single automated coverage of 85 per cent and a shorter survey cycle of two days. Hours of work, code coupling, and the failure rate are also very hard measures.
Q: What about leadership that does not require a single corporate fancy template?
A: The visual template is the shell and the causal logic is the core. The company's master colour and Logo are used in the company's template, but the skeletal skeleton of "one page and one page" of "Little Proof" is firmly retained. The final evaluation was led by the reported information density and clarity of decision-making, not by the addition of several decorator circles to the master.
Q: How do you defend yourself when you meet an expert in a particularly aggressive structure committee?
A: Prepare 3 to 5 pages after the main process "Appendix". An appendix contains a plan for the implementation of pressure parameters configuration, abnormal retry and dead letters line consumption logic, rollback scripts and database index changes. The text keeps the main cause and effect line clean, and once the jury has asked for the bottom details, it cuts directly to the appendix page and strikes precisely, and the convincing is full.
The technical report was never a performance, but a game of engineering rationality for resources and trust.
AI is an excellent booster that can help you in 10 minutes to get the grammar out, compress the long text, build the slide skeleton; but the weight of cause and effect behind the system, the pain of the real pain, and the certainty of the future of the business can always come from you sitting in front of the keyboard and really bearing the overall responsibility for the online system.
If you happen to have a program review or a semi-annual report next week, don't throw the file directly to the AI one-key template. This chain of causes and consequences, and the film that is made, will truly hold you up to the jury.
A framework reporting Prompt and layout template used in the text
The above shared the core three-step rule is bound by Prompt, and a complete version of the collection (including 6 operational templates such as the Technical Program Review Bones, the End-of-Year Promotion Reference Chain, and the Balancing and Easing Matrix, etc.) has been completed.
